What is UMS?

A University Management System (UMS) is an end-to-end digital platform designed to streamline and automate the complete academic and administrative lifecycle of a university. It manages every stage—from student enrollment, admissions, roll number generation and returns submission to exam form filling, exam center setup with superintendent allocation, attendance management, challan printing and secure packet generation for the secrecy branch. UMS also includes advanced examination features such as fictitious roll number generation, packet allocation to evaluators, dual marks entry, automated result declaration and degree issuance. It ensures fast and accurate result processing with support for Marks system and Grading system, division and merit list generation, along with the bulk printing of DMCs, transcripts and degrees.Beyond examinations, UMS integrates fee module, inventory, transport and hostel management, giving universities a centralized system for academic and administrative control.

The system provides the option to block any student. This can be applied for a specific scheme or an entire college.

Grace Marks

The system can automatically calculate normal grace marks based on filled and present theory subjects (1%). Additionally, there is an option to add adhoc marks if required.

Pre Tabulation

Before declaring any results, the Result Section can download a Pre-Tabulation Report, which provides internal and external marks along with totals. This allows for cross-checking before finalizing the results.

Publishing of Results

After declaration, results can be published in the Gazette and made available in both the college and student login with a single click.

Grading and Marks System

UMS provides both options—marks and grading—and can generate tabulation in either format.

Results

The system supports Regular, Re-Appear, Re-Evaluation and revision of existing results.

Thesis

Certain programs, particularly M.Tech courses, require thesis entry.

Pendency

System provides Program-Wise Pendency, allowing the Result Section to easily identify and focus on students with pending tasks.

Record attendance through answer sheet serial numbers with status options such as Present, Absent, Detained and UMC (Unfair Means Case). The system auto-marks students as present by default, reducing manual workload and errors.

Challan & Packet Management

Generate subject-wise challans with unique packet numbers after attendance verification. These challans are forwarded to the Secrecy Branch and used for secure tracking during evaluation and result processing.

Exam Forms

Semester Upgradation

Each department's HOD has the authority to upgrade students from the current semester to the next. After completing the necessary formalities, HOD can proceed with upgrade.

Exam Forms

Students can fill Regular or Re-Appear exam forms through their login. Compulsory subjects are automatically filled and students only need to select their elective subjects. After Study Scheme check balance, students will be able to print their exam forms.

Schedule and Extensions

The university sets the schedule for Exam Form submission and has the authority to fix the dates for each program with semester. It can also extend the submission deadline for individual students if needed.

Exam Form Correction

University can correct any Exam Form if a student adds extra subjects in a Re-Appear case or selects incorrect Electives Subject in a regular form.

Exam Form Data

There are multiple options to download exam form data in Excel format for various purposes, such as tracking the number of students who have filled forms for regular or reappear subjects, both subject-wise and program-wise.

Admit Card

Both the HOD and the Conduct department have the authority to download admit cards in bulk, with the format following university policies.

Re-Appear Subjects

Previous semester reappear subjects will be available for students to select through their login. Students can choose freely and the Conduct Branch can manually add any additional subjects if required.

Internal and Practical Marks

HOD Assign

Each college can assign an HOD for each program through the college's login.

Unlocking of Internal

In case of any errors, only the Conduct Branch has the authority to unlock a locked subject.

Subject Assign

Each HOD can assign subjects to the respective teachers for each program, following the schedule set by the university.

Printing of Marks

After all subjects of a particular study scheme (program) are locked, the HOD can print a complete marks report in matrix format, which will be then submitted to the Examination Branch with the proper stamp and signature.

Sessional Marks

Teachers can upload Internal and Practical External Marks for each subject. Either individually or by uploading an Excel sheet.

Result Processing

Detail Marks Cards (DMCs)

The system allows for the bulk generation of DMCs and related reports. Users can directly download and print the PDFs without needing to configure the formats.

Student Ledger

A comprehensive student ledger is generated, which includes a detailed record of each semester's results and all examinations a student has taken.

Transcript

Transcript reports will include subject-wise marks, grades and the student's overall CGPA.

Degree Statement

Degree statements and accompanying reports are available for printing. The system automatically calculates CGPA and divisions based on the course duration.

Merit List

Merit lists can be generated with a single click immediately after results are declared.

Question Paper Transmission

Security Press

University will provide hardcopies or softcopies of question papers to the Security Press for formatting before the exams, based on the filled subjects by students in exam forms.

Question Paper Formatting

The Security Press formats each question paper according to university guidelines, ensuring graphical quality, correct spelling and adherence to the university's template design.

Question Paper Uploading

The Security Press uploads question papers based on the schedule set by the university. The university can adjust the upload timing as required. For example, if exams start at 9:30 AM, uploads may be allowed from 8:40 AM onward.

Question Paper Downloading

At Exam Center, Superintendent can log in at scheduled time using their credentials. System will then bind the session to a static IP address and send an OTP to the registered email/mobile for 2nd layer authentication.

Third Layer of Security

Each question paper is secured with a password that cannot be decrypted. This is a built-in feature of the PDF to ensure maximum protection.
